Privacy policy
CookPlaning is a private tool run by Bento Pops for its own kitchen staff. This policy explains what information it holds, why, and for how long.
Staff who sign in
Staff sign in with their Google account. CookPlaning receives only the account's email address from Google, and uses it to check that the person is on the kitchen's approved list. It never sees or stores Google passwords.
Customer order information
CookPlaning reads the kitchen's catering orders from the ordering platforms the kitchen sells through. For each order it keeps:
- the customer's company or client name, the delivery date and time window, and the headcount;
- the dishes and quantities ordered;
- the delivery address and any notes on the order, such as allergy information or delivery instructions.
This is used only to plan cooking, shopping and packing for those orders.
How long it is kept
- Delivery addresses and order notes are deleted 14 days after the delivery date. The kitchen can change this period.
- Copies of the platform pages the orders were read from are deleted after the same period.
- Backups are kept for 7 days and then deleted.
- The rest of each order (client name, date, headcount and dishes) is kept so the kitchen can compare weeks and plan ahead.
Who can see it
Only staff the kitchen has approved can sign in, and every request is checked before any information is shown. The information is never sold, shared with advertisers or used for anything other than running the kitchen.
CookPlaning is hosted on Google Cloud in the United States (Oregon). Google stores the information on the kitchen's behalf, encrypted, under Google Cloud's data processing terms. Cloudflare provides the domain name.
